Managing Inventory

Maintain a list of commonly used materials on the Inventory page to quickly and accurately account for job costs for your projects

Follow this example of adding a new material, assigning it to a project, and ultimately tracking its inventory status.

Create a new material and add the initial stock

 

Navigate to the Inventory section of Builder Prime by clicking the "Inventory" button from the left menu. To create the new material, click the "+ New Material" button at the top right corner of the table.

Fill in any details about the material that you'll need logged in the system. The only requirements are material name and material cost (what you pay to buy the materials). After saving the material, you can leave it as-is for job costing, or you can add any existing stock to assign to live projects for inventory management and tracking.

To add to the in-stock inventory, open the material and click the "Add to Inventory" button. Fill in the date the material was received, how many units are in stock, and how much you paid for each item. **This is not the total cost for this lot of material, but the per unit cost

Adding new stock to your inventory using Purchase Orders

 

Builder Prime has an internal Purchase Order tracking feature where you can track the status of any external purchase orders. Currently, this is for internal use only within Builder Prime.

Reviewing Material Lots and Stock Amounts

 

The Material Lots table at the bottom is an easy way to see at a glance what materials are in stock, pending order, pending receive, and out of stock. Clicking into any lot number will open the details of that particular lot, including where the lot has been allocated to a project.

📣IMPORTANT: In order to allocate material from your stock, there must be a sold contract within the project.

Once material is assigned, the next step is to allocate from the current stock. To do this, you'll click the "Materials" button within the Scope of your project. Check the box next to the specific material you will be allocating, or check the top box to select all materials.

Click the "Allocate from Inventory" button at the bottom, and it will add a lot # and update the amount of inventory you have in stock for the material(s).

Assigning more than what you have in stock

 

If you've assigned more material than what you have in stock, it will not attach a lot number to the amount that is not currently available within the stock. From the same screen where you allocate materials, you can either manually add to the inventory, or you can add the missing stock to a purchase order that can be tracked inside of Builder Prime.

Note: As of this time, there is no way to mass delete or configure inventory at scale. Please proceed with caution when creating inventory entries as you will need to manage them one-by-one.
