How to prevent Builder Prime emails from going to spam

Here are some tips to prevent your emails sent through Builder Prime from going to the recipient's spam folder.

Builder Prime email services have excellent deliverability scores, but that doesn't always prevent the messages you send in Builder Prime from going to the recipient's spam folder.  Here are some tips on how to prevent emails sent in Builder Prime from going to spam.

1. Sign up for an email service from Google Workspace, Microsoft 365, or another paid email service that uses your own company domain. 

When sending emails from Builder Prime, the "from address" will encompass your company's domain (i.e. mycompany@mail.builderprime.com).  The email will use a Reply-To address of your own email address that you use to sign in to Builder Prime. When a recipient replies, it will go directly to your email address rather than to the sending address with your company's domain. 

Email services tend to flag emails when the Reply-To is a free email service like Gmail, Yahoo, Hotmail, etc so signing up for an email service from Google Workspace, Microsoft 365, etc. that uses your own company domain may be helpful so that the Reply-To address matches your company's domain and is not coming from a free service.

2. You can link your Gmail or Outlook account in Builder Prime by navigating to Admin > Integrations > Email. 

The emails you send in Builder Prime will be sent using your actual email account instead of the @mail.builderprime.com address that is set up for you. When emails are sent using your Gmail or Outlook account, those emails will appear in your sent folder of your connected account as well as in Builder Prime. Additionally, the email recipients will see the email as coming from your Outlook or Gmail (or Google Workspace) email address, just as if you had sent the email yourself directly in the email platform.

3. Emails you send through Builder Prime will include your logo at the top by default.  When email service providers see a high ratio of images to text, they are more likely to flag it as spam. You can toggle off the header image from your emails if you notice this problem. 

You can modify this setting on the email template by going to Admin > Configure > Email & SMS.  Find the template in question and toggle off the option to include the logo image in the header.

 

4. In addition to the logo at the top of the emails, Builder Prime formats your emails using HTML for a professional look and easy readability on any size device.  Unfortunately, email service providers may be more likely to flag an email as spam if it uses HTML rather than plain text.  To mitigate this, you can change your emails and email templates to use plain text instead in most cases.  This can also improve the deliverability of your emails.  You can toggle this in the same place as the logo images in the step above.

*Email service providers are more likely to flag an email as spam if it looks like an advertisement or promotion.  The more you can make the email look like it is hand-typed to a friend or family member, the better off you will be for landing in the recipient's inbox.  Avoid using too many images or links and from using sales/marketing terminology as much as possible.*
